Who should attend?

Anyone who needs to share areas in Outlook i.e. Inbox, Calendar, Contacts with a colleague(s).

Pre-requisites

A good working knowledge of Outlook. An understanding of the calendar and public folders would be beneficial.

Objectives

The course is designed to explain how colleagues can access your mailbox folders and provide ideas for ways of working with and managing these shared folders.

Course Content

Mailbox & folder permissions

Allow a colleague to view your mailbox. Set mailbox permissions. Define which mailbox folders are to be shared i.e. Inbox, Calendar, Contacts. Open another person's mailbox.

Organise a meeting

Plan a meeting electronically. Invite attendees. Monitor who has accepted/tentatively accepted/declined.

Edit a meeting request

Move a meeting and inform attendees of the change.

Manage a colleague’s email

Manage email for a remote (laptop) user. Move messages. Flag messages for action. Mark messages as unread. Reply to a message on behalf of a colleague.

Sharing documents

Send a file attachment as a shortcut. Insert a comment(s) in a document.

Public folders

Move/copy a document to a public folder. Share contacts, calendar(s), and tasks.

Tasks

Assign a task to a colleague. Accept or decline a task. Monitor the progress of an assigned task.
